Everything in This Business Is Predictable
There’s this concept we use in the shop called key-to-key to callbacks, and at a surface level it sounds technical, maybe even a little boring, but the more I’ve lived inside of it, the more I’ve realized it’s actually the foundation for everything.
What it really means is simple.
From the moment a customer hands you their key, to the moment you give that key back, everything in between is accounted for. And then after that, you follow up—you call them and make sure everything is still good. That full cycle is the operating system of the shop.
And once you start to see it that way, something changes.
You begin to realize that most things in your business are actually predictable.
If I say something specific to a customer on the phone, I already know the two or three ways they’re likely to respond. If a certain car comes into the shop, I can already anticipate the kind of issues it’s going to have, because these cars were built the same way, on the same lines, with the same materials. When they break, they tend to break in the same patterns.
So when you build your systems around that reality, your days stop feeling so lackluster. You walk into work already understanding the flow of your day before it begins.
How to Build Systems in Your Auto Repair Shop
If you’re trying to build systems in your shop, the mistake most people make is thinking they need to fix everything at once, when in reality the only way this works is by starting with something small enough that you can actually follow through on it.
Once you’ve done that, the goal is to actually live inside that process long enough for it to become natural — for it to remove the need to think through every step, and for you to start feeling the difference between reacting in real time and operating from something that’s already been decided.
From there, you add another process, and then another, and over time what you begin to notice is that your days stop feeling like a series of interruptions and start to feel like something with shape and direction.
You’re no longer carrying every decision in your head or wondering what needs to happen next, because you’ve already made those decisions ahead of time.
And that’s when your business starts feeling more stable, because you’ve built it intentionally, one process at a time.
Build a Business That Runs Without Chaos
I’ll be honest: your systems won’t eliminate every problem. Life is still life. Things will still happen. But they eliminate a lot of it. And maybe most importantly, they give you your brain back. Because you can start thinking about where you actually want to go.
So if you’re someone who feels like your days are running you, instead of the other way around, don’t start by trying to overhaul your entire life. Start with something simple. Define one process. Then another. Then another. Build your own version of “key-to-key.” And over time, you’ll look up and realize that what you’ve really built isn’t just a better business. It’s a life that feels a whole lot more peaceful to live inside of.
